As a Facilities and Operations Manager, you will be responsible for the monitoring, management and improvement of the processes that support the smooth, safe, efficient, and compliant operation of the facility, supporting the delivery of business objectives.

You are a self-starter who takes ownership and accountability, with extensive facilities management experience within a highly regulated environment. You continually look for ways to improve operational efficiency and effectiveness. You have keen ability to negotiate and experience of managing vendor performance.

Our client is a leader in the development of cutting-edge biotech medical diagnostic products based in West London.

Key Responsibilities

Operations and Maintenance
*Responsible for developing the annual Facilities & Operations budget forecast (OPEX & CAPEX), efficiently managing expenditure against this budget and provide monthly reporting.
*Responsible for planning and coordinating the day to day operations of the facility, and the maintenance of essential building systems and services.
*Project manage, supervise and coordinate the work of contractors, ensuring work is completed satisfactorily and following up on any deficiencies.
*Procure, develop and maintain all necessary documentation associated with the functioning of the facility, including but not limited to contracts, warranties, Standard Operating Procedures (SOP's), Work Instructions (WI's), maintenance schedules etc.
*Responsible for ensuring appropriate buildings, contents, and other insurances associated with the facility are in place and reviewed annually ensuring an adequate level of cover.

Vendor Management
*Responsible for preparing necessary documentation, source vendor quotations, negotiating and contracting for all systems, services, equipment, furniture and consumables necessary for the operation of the facility.
*Responsible for securing the optimal mix of cost, quality, timeliness and customer service/service levels in negotiations, with the goal to achieve maximum cost effectiveness/value for money.
*Responsible for the process of qualifying and managing the performance of the facility vendors, suppliers, service providers, consultants, and contractors.

Security
*Oversee the establishment of the building security system (both physical and electronic), and undertake an annual review of security requirements.

People Management
*Responsible for the day to day leadership of the Receptionist and the Laboratory and EH&S Manager, including the planning, direction and prioritisation of duties.

Governance & Compliance
*Maintain compliance with all Corporate, EH&S and Quality System procedures and regulations.
*Support the Head of Operations in the planning and execution of internal audits.
*Develop and execute a monthly back-end monitoring process to ensure compliance with key procurement procedures and WI's, and escalating deviations to the Head of Operations.

Qualifications, Skills and Experience Required
*Bachelor's Degree, preferably in Facilities Management or Business Management
*Extensive successful experience in the management of facilities and operations within a highly regulated environment, ideally biotech
*Project management experience is desirable
*Strong leadership, project management, and interpersonal skills
*Demonstrates strong verbal, written communication and presentation skills
*Customer focused, anticipating internal (and external) customer needs
*Excellent negotiation and influencing skills
*Ability to work well either alone or in cross-functional teams
*Ability to self-manage and work with a degree of ambiguity
*Strong organization and time management skills
*Ability to manage multiple priorities and deliver to timelines
*Inquisitive with a continuous improvement mentality
*Responds positively to change and intellectual challenges
*Understanding of Good Manufacturing Practices and ISO 13485
